What is remote access? A beginner's guide.

Share

Remote access: It’s so ingrained in our day-to-day that I’d bet many of you don’t even realize how often you’re using it to get stuff done.

Just in the last day, I’ve used cloud-based remote access solutions to:

  • Add to my grocery list.
  • Check on my baby.
  • Refill a prescription.
  • Order photos.
  • Update my budget.

And whether you’re like me and rely on technology to stay sane…or you’re a professional navigating a virtual workspace, understanding the fundamentals of remote access is essential.

In this post, I’ll answer the basics of remote access, including:

  1. What is a remote access solution?
  2. Why is remote access important, and what are the benefits?
  3. Is remote access secure?

What is a remote access solution?

A safe, continuous, secure method that enables access to resources from anywhere.

In the simplest possible terms, it connects a user to a computer or network from a location other than where it physically resides.

Let’s use Rightworks OneSpace as an example. (OneSpace is Rightworks’ remote access solution.) OneSpace allows a user to log into a single workspace to access their apps from any remote location.

So, if you were at home and suddenly remembered you owed your client a form, you’d be able to launch OneSpace, send that form via SmartVault (or whichever document management system you’re using) and then be on your way.

Here’s what you wouldn’t have to do:

  • Drive to work to get your work computer.
  • Print out a physical document and mail it to your client.
  • Download OneSpace onto your personal computer.
  • Download SmartVault onto your personal computer.

Remote access solutions are web-based, meaning: Anywhere you have an internet connection, your resources are available.

Types of remote access

  1. Virtual private network (VPN): VPNs create a secure connection over the internet, allowing you to access a private network remotely. This encryption ensures data security while accessing files or applications.
  2. Remote desktop software: This software allows you to control a computer remotely as if you were sitting in front of it. Popular applications like TeamViewer or Remote Desktop Protocol (RDP) provide this functionality.
  3. Cloud-based services: Cloud computing services like OneSpace, Google Drive, Dropbox or Microsoft OneDrive offer access to files stored in the cloud, enabling you to get what you need and collaborate from anywhere.

Why is remote access important?

Remote access perks include: Flexibility and mobility, productivity, cost-efficiency and improved work-life balance.
Besides “it makes life easier,” remote access offers users numerous benefits.

Besides “it makes life easier”—here’s why remote access is important and how it benefits users:

  • Flexibility and mobility: Free yourself from the confines of a specific location. Whether working from home, a café, an airport or your clients’ office—it doesn’t matter. All it takes is one login to start using your apps and software.
  • Increased productivity: When you’re able to work anywhere, productivity isn’t tied to physical office space. You can collaborate in real-time with clients and colleagues, access files and work on projects without being tied to the same location.
  • Cost-efficiency: Remote work offers significant cost advantages. Businesses save on overhead costs by allowing employees to work anywhere using a remote access solution. With reduced office space needs and commuting expenses, both employers and employees benefit financially.
  • Enhanced work-life balance: Remote access allows you to manage your schedule more efficiently. Log in from anywhere and work; log out and tend to personal matters. It’s freedom via click.

Is remote access secure?

When proper measures are implemented, yes. Its security depends on:

  1. How it’s used.
  2. The tools used to establish remote connections.

When considering a provider, ensure they offer the following:

  • Encryption: Strong encryption methods secure data transmitted between devices.
  • Multifactor authentication (MFA): MFA adds an extra layer of security, ensuring that only authorized individuals are accessing the remote resources.
  • Automatic updates: Tools (and the apps within) should be kept updated to the latest versions, as they often contain security patches that address vulnerabilities.
  • Employee training: Educating users about security best practices, such as avoiding public Wi-Fi, creating strong passwords and recognizing phishing attempts, is crucial to prevent security breaches.
