How to clean up your QuickBooks data with Transaction Pro

As the year comes to a close, accountants have a long list of tasks to prepare for year-end, including reconciliations, reports and clean-up.

While perfectly balancing accounts requires careful review, Transaction Pro can assist with many clean-up tasks on your year-end checklist. Starting the new year with clean, organized books sets you up for success.

Common year-end clean-up tasks include:

  • Cleaning up customer and vendor lists.
  • Deleting obsolete items.
  • Updating addresses and contact information.
  • Revising inventory item descriptions.
  • Streamlining the company file.

Transaction Pro offers several tools to make these tasks more efficient:

Deleting list items

Use Transaction Pro Deleter to query lists and select items for removal. Remember that items with associated transactions cannot be deleted.For QuickBooks Online, list items are made inactive rather than deleted. For QuickBooks Desktop, export the list with Transaction Pro Exporter, update the “Active” status in the file, then re-import.

Updating list information

To update addresses, descriptions, prices, etc:

  1. Export the full list with Transaction Pro Exporter.
  2. Make changes in the exported file.
  3. Re-import the updated data with Transaction Pro Importer.

If you already have an Excel file with changes, use Transaction Pro Importer to update QuickBooks. Be sure to include all required fields in the import file.

Streamlining your company file

For overgrown files, you can:

  1. Create a new company file and import only recent years of data.
  2. Use Transaction Pro Deleter to remove old transactions in batches.

Always back up your file first. When re-importing data, refer to the suggested import order in our Knowledge Base.

Best practices

  • Delete/update in small batches.
  • Print key reports before making changes.
  • Enter beginning balance journal entries as needed.
  • Verify inventory quantities and values after clean-up.
